Item Customer Master

This master maintains Item - Customer relationships. It allows to link multiple items, their rates and discounts offered with a Customer. Item's sale price is calculated using its basic price, applicable rate structure and discounts offered if any.

 

Please note that this master allows to maintain relationship for a unique combination of Customer + Item + Currency. In other words a Customer can be linked with same Item multiple times provided each time the Currency is different.

 

Sales Items as well as Service Items both can be linked with Customers.

A list of already existing Item-Customer relationships will be displayed as follows -

 

Search:

Enter any text you want to search in the list below. The search is applicable to all columns of the list. Once the text is entered, press <ENTER> key. As a result, the list will be refreshed with all those records that contain the entered text fully or partially. In order to go back to the original list, remove the text from the box and press <ENTER> key again.

 

Item-Customer relationships can be added, edited, and viewed provided the Role associated with the currently logged-in user through User Management has the respective rights to do so.

 

To 'Add' a Item-Customer relationship, click on the button and to 'Edit', click on the icon on its corresponding record. To view details of a particular relationship, <DoubleClick> on that record. As a result, following screen will be displayed -

You can 'Edit' a Customer Item relationship but you can not 'Delete' it.

Field Description of Item Customer Master

Customer:

Specifies the Customer with whom an Item is linked.

 

While 'Adding' a new relationship, click on the icon on the field to access a list of already existing Customers defined through Customer Master option. Select your desired Customer from the list by scrolling down to it and click on 'Continue' button.

 

In case of 'Edit' and 'View', Customer will be displayed automatically for the selected record. It can not be changed.

 

You can not select a Customer that has been deactivated through Activate/De-Activate Master option in Administrator Tools Module. The help will also not display such Customers.

 

Sales Item:

Specifies the Item linked with the selected Customer.

While 'Adding' a new relationship, click on the icon on field to access a list of already existing Sales Items defined through Sales Item Master : Product/Spares option as well as Service Items defined through Sales Item Master : Service option. Select your desired Item from the list by scrolling down to it and click on 'Continue' button. Alternatively you can also enter the Item Code. Press <TAB>.

 

You can not select a Sales Item that has been deactivated through Activate/De-Activate Master option in Administrator Tools Module. The help will also not display such Sales Items.

 

You can not select a Service Item that has been deactivated through Activate/De-Activate Master option in Administrator Tools Module. The help will also not display such Service Items.

 

In case of 'Edit' and 'View', Sales Item will be displayed automatically for the selected record. It can not be changed in 'Edit' mode.

 

Customer's Item Code:

(Type : Alphanumeric, Length : 100)

Specifies the Code of the selected Item as maintained by the Customer.

 

While 'Adding' a new relationship, enter the Customer's Item Code for the selected Item.

 

In case of 'Edit' and 'View', Customer's Item Code will be displayed for the combination of selected Customer and selected Sales Item Code. You can change it in 'Edit' mode.

 

Currency Code:

Specifies the Currency in which the Item is sold to the Customer.

 

While 'Adding' a new relationship, this field will automatically display the selected Item's respective default Currency mentioned through Sales Item Master : Product/Spares OR Sales Item Master : Service option.

 

You can change the default Currency if required. Click on the field to access a list of already existing Currencies defined through Currency Master option of Administrator Tools Module. Select your desired Currency from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Currency .  

 

Please note here that -

  • IMMS will check if the combination of selected Customer + Item + Currency already exists in the master. An appropriate message will be displayed if it exists and the user will not be allowed to continue further. Otherwise the user can continue.
  • If the chosen Currency is not a default one, than in that case IMMS again displays a warning message but allows the user to continue further if he wants to. This message is displayed due to the fact that IMMS is unable to find the Basic Rate of the Item in selected Currency.

In case of 'Edit' and 'View', Currency Code will be displayed for the combination of selected Customer and selected Sales Item Code. You can NOT change it in 'Edit' mode.

 

Rate Structure:

Specifies the Rate Structure for the combination of selected Customer + Item + Currency.

 

While 'Adding' a new relationship, enter the Rate Structure. Click on the field to access a list of already existing Rate Structures defined through Rate Structure Master option of Purchase Module. Select your desired Rate Structure from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Rate Structure.  

 

In case of 'Edit' and 'View', Rate Structure will be displayed for the combination of selected Customer + Item + Currency. You can change it in 'Edit' mode.

 

You can not select a Rate Structure that has been deactivated through Activate/De-Activate Master option in Administrator Tools Module. The help will also not display such Rate Structures.

 

As a result final price of the Item will be recalculated automatically and displayed in 'Price After Disc, Rate Structure' field as -

 

Price After Disc & Rate Struct = Basic Customer Price + Taxes (as per Rate Structure) - Total Disc Value

Discount Code:

Denotes the Discount offered to the Customer on the linked Item.

 

While 'Adding' a new relationship, click on the field to access a list of already existing Dealer Discounts defined through Codes Master Entry (Code Type = 'DD') option of Administrator Tools Module. Select your desired Discount from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Discount Code.

 

In case of 'Edit' and 'View', Discount Code will be displayed for the combination of selected Customer + Item + Currency. You can change it in 'Edit' mode.

 

Discount Type:

Discount can be offered in either percentage or value. Select 'Percentage' or 'Value' from the given popup. Press <TAB>.

 

Discount Value:

(Type : Numeric, Length : 9.2)

Click on the field. Now enter the discount value either in percentage or amount as the case may be. Press <TAB>.

Price

Basic Customer Price:

(Type : Numeric, Length : 9.2)

Specifies the Basic Price of the Item for the combination of selected Customer + Item + Currency.

 

While 'Adding' a new relationship -

In case of 'Edit' and 'View', Basic Customer Price will be displayed automatically for the combination of selected Customer + Item + Currency. You can change it in 'Edit' mode.

You can change the Basic Customer Price if required. As a result final price of the Item will be recalculated automatically and displayed in 'Price After Discount & Rate Structure' field as -

 

Price After Discount & Rate Structure = Basic Customer Price + Taxes (as per Rate Structure) - Total Discount Value

Total Discount Value:

This field is automatically calculated and displayed. You can not enter/change it.

 

Total Value of Discount provided to the Customer for the selected Item is calculated and displayed in this field as follows -

 

If the Discount is entered in Value, it will be displayed as it is.

If the Discount is entered in Percentage, it will be first converted into Value and then displayed. Percentage of Discount is applied to the 'Basic Customer Price'.

Price After Discount & Rate Structure:

This field is automatically calculated and displayed. You can not enter/change it.

 

Final Price of the Item is calculated by adding tax amounts belonging to the Rate Structure to the Basic Price of the Item and than deducting the 'Total Discount Value' from that amount.

Price After Discount & Rate Structure = Basic Customer Price + Taxes (as per Rate Structure) - Total Discount Value

Rate Structure Details

A grid populated with Rate Codes included in the selected Rate Structure as specified through Rate Structure Master option is displayed as follows -

 

Field Description of the grid -

Index:

Automatically generated sequence number.

 

Rate Code:

Automatically displays the Rate Code belonging to the Rate Structure for your reference.

 

Rate Desc:

Automatically displays the Description of the Rate Code belonging to the Rate Structure for your reference.

 

I/E:

Automatically displays whether the selected Rate Code is Included or Excluded as specified through Tax Rate Master - Entry option for your reference. It can NOT be changed.

 

P/V:

Automatically displays whether the value of the selected Rate Code is in Value or Percentage as specified through Tax Rate Master - Entry option for your reference. It can NOT be changed.

 

Applicable On:

Automatically displays the Rate Codes on which this particular Rate Code is applicable.

 

Tax Value:

Automatically displays the Value of the selected Rate Code as specified through Tax Rate Master - Entry option for your reference.

 

IMMS allows to enter value in this field to specify the 'At Actual' tax amount to be added in the PO Amount. Please note that the value can be entered only if the Rate Code is of 'Value' type or 'Percentage' type with zero % entered in Tax Rate Master for that Tax Rate.

 

Post/Non Post:

Automatically displays whether the selected Rate Code is Postable or Non Postable in Purchase as specified through Tax Rate Master - Entry option for your reference. If it is Postable, the box will be displayed as checked otherwise it will be displayed empty.

 

Currency Code:

Automatically displays the Currency of the selected Rate Code as specified through Tax Rate Master - Entry option for your reference.

 

Rate Amount:

In case of 'Percentage', the Rate Amount field in the grid is calculated automatically as % (enterered in Tax Value field) of Total Amount. In case of 'Value', the entered amount of tax is displayed.

Last Updated Date:

This field automatically displays the date on which a new relationship was added or the last date on which an existing relationship was modified. You can not enter in this field.

 

Once you have entered all the information related to the relationship, click on 'Save' button to save it or 'Cancel' to discard. The control will go back to the list.
