Work Order Maintenance

 

Add and maintain Work Orders through this option. Work Orders are generated for unallocated quantity of each manufactured item in the demand list. These are instructions to the Production Department indicating Child Items required, their quantities and various processes involved during the production of Parent Item.

 

IMMS allows to create a single Work Order for multiple Sales Job Orders. IMMS also allows to raise Work Orders for partial quantities of SJOs while taking care of the pending quantities for which Work Orders can be made further.

Following are the prerequisites to create a Work Order -

Process Sheet of the selected Manufactured or Assembly Item is available to further work on.

Once a Work Order is created, it is necessary to Authorize it so that Production department can do the needful. Authorizing a Work Order also freezes it for production. No changes what so ever are allowed thereafter. In case some changes have to be done in the Work Order after its authorization, it should be Unauthorized first and changes can be made thereafter.

 

Once labor production is booked against a particular Work Order and its QC is still pending then IMMS will NOT allow to UnAuthorize that particular Work Order. But still IMMS allows to make realistic changes in on-going processes of Work Order during production by amending it through Work Order Process Amendment option.

 

Additionally, a Work Order can be canceled through Work Order Cancellation option after which it will not be available at all.

 

Please note that a Work Order secures the required items by locking them. If required, Item related changes can be done through CCN Entry option in Materials Module only.

 

Following screen appears preloaded with the Process Sheet of the selected Manufactured/Assembly Item in order to make its Work Order. Rest of the information has to be filled in by the user.

Moreover start date of the Work Order is also automatically calculated in accordance with its due date and maximum time taken by any operation.

 

A list of existing Work Orders will be displayed as follows -

Search:

Enter any text you want to search in the list below. The search is applicable to all columns of the list. Once the text is entered, press <ENTER> key. As a result, the list will be refreshed with all those records that contain the entered text fully or partially. In order to go back to the original list, remove the text from the box and press <ENTER> key again.

 

Filter By:

IMMS provides the facility to filter the records on the basis of their status. Click on the field and select either 'All', 'Authorized' or 'Pending for Authorization'. Selecting 'All' will display all records, authorized as well as unauthorized. Selecting 'Authorized' will display only authorized records. Selecting 'Pending for Authorization' will display only those records that are yet to be authorized.

 

Once a Work Order is generated, it may or may not need to be authorized.

Work Orders can be added, edited, deleted and viewed provided the Role associated with the currently logged-in user through User Management has the respective rights to do so.

To 'Add' a Work Order, click on the button and to 'Edit', click on the icon on its corresponding record. To delete a particular Work Order, click on icon. To view details of a particular Work Order, <DoubleClick> on that record. As a result, following screen will be displayed -

Work Order Details

Year:

Denotes the financial year of the Work Order.

 

While 'Adding' a new Work Order, current financial year is displayed by default. You can not change it.

 

In case of 'Edit', and 'View', financial year will be displayed automatically for the selected record. It can not be changed.

 

Group:

Specify the Group of the Work Order.

 

While 'Adding' a new Work Order, please note that the Group which has been specified as default for the selected financial year through Document Control Master option in Administrator Toolswill be displayed automatically.

 

You can change it by clicking on the field to access a list of already defined WO Groups for the entered Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Group.

 

In case of 'Edit', and 'View', Group will be displayed automatically for the selected record. It can not be changed.

 

Site:

Specify the Site of the Work Order.

 

While 'Adding' a new Work Order, the Site if any specified with the selected Group will be displayed by default.

 

Click on the field to access a list of already defined Sites. Select your desired Site from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Site.

Please note that the Site(s) will be displayed/accepted as per the following conditions -

  • In case the 'Site Required?' flag is 'On' through Document Control Master option in Administrator Tools Module, then only those Sites will be displayed which have been linked with the selected Year and Work Order Group.
  • In case the 'Site Required' flag is 'Off', then all the Sites that have been defined for the current Company through Site Master option of Administrator Tools Module will be displayed.

In case of 'Edit', and 'View', Site will be displayed automatically for the selected record. It can not be changed.

 

Number:

(Type : Alphanumeric, Length : 6)

 

Denotes the number of the Work Order.

 

While 'Adding', Work Order Number is either generated automatically or entered manually by the user.

 

Generation of Work Order Number is a flag driven option and depends upon the setting of flag 'Auto Number Generate Required' through Document Control Master option in Administrator Tools Module. CollapsedClick here to read more about the flag...

 

In case of 'Edit', and 'View', Number will be displayed automatically for the selected record. It can not be changed.

 

Date:

Denotes the Work Order Date.

 

While 'Adding', today's date is displayed by default. You can change it but it can not be later than today's date and should fall within the Current Period date range. Press <TAB>.

 

In case of 'Edit', and 'View', Date of the selected Work Order Number will be displayed automatically. You can change it.

Planner:

Specify the Planner of the Work Order.

 

While 'Adding', click on the field to access a list of already defined Planners though Planner Master - Entryoption in Administrator Tools Module. Select your desired Planner from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Planner.

 

In case of 'Edit', and 'View', Planner of the selected Work Order Number will be displayed automatically. You can change it.

 

Item:

While 'Adding', click on the icon on the field to access a list of Manufacturing/Assembly Items against which SJOs already exist and some quantity of Work Order is still pending to be created.

 

Please note that the system will display/accept only those Items for which 'Dispatch Without Manufacturing' flag is 'Off' through Item Master Basic Detail - Entry option of Materials Module.

 

In case of 'Edit', and 'View', the Manufacturing/Assembly Item of the selected Work Order Number will be displayed automatically. You can NOT change it.

 

Item UOM:

Automatically displays the Unit of Measurement of the Item for your reference. You can NOT change it.

 

Total WO Quantity:

Denotes the total Work Order quantity.

 

In 'Add' mode, the total 'Pending Qty' of all SJO(s) belonging to the selected Item Code will be displayed for your reference. You can NOT change it.

 

In 'Edit', and 'View' modes, the total 'WO Qty' of all SJO(s) against which the selected Work Order Number was created will be displayed for your reference. You can NOT change it.

 

WO Due Date:

In 'Add' mode, enter the Date when this Work Order will be due. It can not be before today's date or later than SJO's delivery date. Press <TAB>.

 

In 'Edit', and 'View' modes, WO Due Date for the selected WO Number will be displayed automatically. You can change it in 'Edit' mode.

 

WO Start Date:

You can NOT make any entry in this field. By default the Due Date of the Work Order will be displayed here.

Field Description of SJO Details

A grid will be displayed with the SJO details as shown above.

 

In 'Add' mode, this grid will be populated with all the SJOs belonging to the selected Item Code against which there is some quantity pending to be made into a Work Order.

 

In 'Edit', and 'View' modes, this grid will be populated with ONLY those SJOs against which the selected Work Order Number was created.

 

Please note that you can not add or remove any row in this grid. It is used to specify the Work Order quantity for the selected Item only.

 

Field Description of the grid -

SJO Year

Automatically displays the year of the SJO for your reference. You can not change it.

 

SJO Group

Automatically displays the Group of the SJO for your reference. You can not change it.

 

SJO Site

Automatically displays the Site of the SJO for your reference. You can not change it.

 

SJO No

Automatically displays the SJO Number of the selected Item Code for your reference. You can not change it.

 

Item Code

Automatically displays the selected Manufactured/Assembly Item for your reference. You can not change it.

 

UOM

Automatically displays the Unit of Measurement of the selected Item for your reference. You can not change it.

 

Pending Quantity

Denotes the Work Order quantity that is pending for the Item.

 

Automatically displays the SJO Quantity of the selected Manufactured/Assembly Item if the Work Order is being made for the first time. For subsequent Work Orders for the same Item, the system will display pending Work Order Quantity by deducting the 'WO Qty' till now from 'SJO Quantity'.

 

Work Order Quantity

(Type : Numeric, Length : 9.4)

 

Denotes the Work Order quantity for the selected Item.

 

In 'Add' mode, zero will be displayed in this field. In 'Edit', and 'View'modes, existing WO quantity of the Item will be displayed.

 

Click on the field. Now enter/change the Work Order Quantity for the selected Item. IMMS allows to make Work Order for partial quantity but it can never be more than the 'Pending Qty'. Press <TAB>.

 

WH Code KANBAN:

Please note that this field will be visible only in case the flag 'Do you want to use KANBAN functionality?' is set as 'On' through Inventory Policy option of Administrator Tools Module. Otherwise this field will NOT be visible at all.

 

Denotes the KANBAN Warehouse from where the KANBAN Items that may be required while Work Order Receipt of the SJO Item will be allocated.

 

While 'Adding' a new WO, the default KANBAN Warehouse of the Sales Job Order specified through SJO Entry option will be displayed automatically. You can change it. To do so, click on the field. Delete the existing data. Now click on the field to access a list of already defined KANBAN Warehouses through Warehouse Master option in Stores & Inventory Module. Select your desired KANBAN Warehouse from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Warehouse Code.

WH Desc KANBAN:

Description of the selected KANBAN Warehouse will be displayed automatically.

Field Description of Work Order Routing Details

In 'Add' mode, the existing Process Sheet of the selected Manufactured/Assembly Item that was created through Process Sheet Master - Entry option of Materials Module is displayed in this grid.

 

In 'Edit', and 'View' modes, the Process Sheet as per the selected Work Order Number will be displayed in the grid.

 

You can make changes in it as per the realistic requirements.

 

Click on the button to add a new Operation in the grid. A new row will be added as a result.

 

Field Description of the grid -

Action

Click on the icon to remove a record from the list. Click on the 'Delete' icon again to un-delete the record.

Sr. No:

Automatically generated sequence number.

 

Inside/Outside

Specifies whether the Operation is Inside or Outside operation.

 

To change it, click on the field and choose your option. Press <TAB>.

 

In case an 'Inside Operation' is changed into an 'Outside Operation', the system will automatically remove the existing Work Center and shop information that was entered for the previous 'Inside Operation.

 

Operation Number:

(Type : Numeric, Length : 7.2)

 

Specifies the sequence number of the Operation to be carried out. You can change it but it should be a unique number as no two Operations can be performed at the same time. Press <TAB>.

 

Work Centre Code:

Specifies the Work Center at which the Operation is carried out.

 

Click on the field to access a list of Work Centers that have been defined through Work Center Master - Entry option of Materials Module. Select your desired Work Center from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Work Center Code.

 

Work Centre Desc:

Automatically displays the description of the selected Work Center Code.

 

Shop Work Centre:

Specifies the Shop of the selected Work Center at which the Operation is carried out.

 

Click on the field to access a list of Shops that have been associated with the selected Work Center through Shop Work Center Link Master option of Materials Module. Select your desired Shop from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Shop Code.

 

Operation Code:

Specifies the Operation to be performed.

 

Click on the field to access a list of Operations that have been defined through Codes Master Entry (Code Type = 'OP') option of Administrator Tools Module. Select your desired Operation from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Operation Code.

 

Operation Description:

Automatically displays the Description of the selected Operation Code.

 

Standard Setting Time:

Denotes the Standard time required to setup the machine for the Operation for the entered WO Qty.

 

By default the Standard Setting Time for 1 unit of WO Item Code entered through Process Sheet Master - Entry option of Materials Module will be multiplied by the entered WO Qty and displayed. You can change it.

 

To do so, click on the field. Now enter the time in Hours:Minutes:Seconds format. Press <TAB>.

 

Standard Operation Time:

Denotes the Standard time required by the Operation for the entered WO Qty.

 

By default the Standard Operation Time for 1 unit of WO Item Code entered through Process Sheet Master - Entry option of Materials Module will be multiplied by the entered WO Qty and displayed. You can change it.

 

To do so, click on the field. Now enter the time in Hours:Minutes:Seconds format. Press <TAB>.

 

Outside Labour Amount:

Specifies the Labour Amount applicable for an Outside Operation. This field will be enabled only if the Operation chosen is an 'Outside' Operation. Otherwise it will remain disabled.

 

Click on the field. Now enter the Amount. Press <TAB>.

 

QC Required:

Specifies whether Quality Control is required for the Operation or not. Click on the field and select your option by clicking on it. Press <TAB>.

% of Excess time:

(Type : Numeric, Length : 2)

Denotes the percentage of excess standard production time that is allowed while entering actual production time for each Operation through Labour Production Entry option of Production Module.

 

Press <ENTER> on the field. Now enter the percentage of excess time permissible. Press <ENTER> again.

 

Process Start Date:

This field will be visible only when the flag 'Want to maintain Start and End datetime wise Labor Production?' is set as 'On' through Shop Policy option of Administrator Tools Module. Otherwise it will not be visible.

 

Click on the field. Now enter the Date on which the Process should start. It should be later than the Work Order Date.

 

Start Time:

This field will be visible only when the flag 'Want to maintain Start and End datetime wise Labor Production?' is set as 'On' through Shop Policy option of Administrator Tools Module. Otherwise it will not be visible.

 

Click on the field. Now enter the Time at which the Process should start.

 

End Date:

This field will be visible only when the flag 'Want to maintain Start and End datetime wise Labor Production?' is set as 'On' through Shop Policy option of Administrator Tools Module. Otherwise it will not be visible.

 

By default the Start Date will be displayed automatically which can be changed. Click on the field. Now enter the Date on which the Process should end. It should be later than the Process Start Date.

 

End Time:

This field will be visible only when the flag 'Want to maintain Start and End datetime wise Labor Production?' is set as 'On' through Shop Policy option of Administrator Tools Module. Otherwise it will not be visible.

 

By default the End Time will be calculated and displayed as 'Start Time' + 'Standard Operation Time'. It can be changed. Click on the field. Now enter the Time at which the Process should end.

Field Description of Item Required for the Work Order Item

This section displays the Child Items required to make the selected Manufactured/Assembly Item along with their other details and required quantity. All the fields in this grid are automatically displayed and you can not make any changes in them.

 

Item Code:

Automatically displays the Child Item Code required to make the selected Manufactured/Assembly Item. You can not change it.

 

Item Description:

Displays the Description of the Child Item Code for your reference.

 

Required Quantity:

Automatically calculates and displays the Quantity of Child Item required to make the Work Order Quantity of Parent Item.

 

Please note here that in case the Work Order quantity is not same as the 'SJO Quantity' of the selected Manufactured/Assembly Item, than the quantity required of each Child Item will be automatically calculated and displayed as per the Work Order quantity i.e. (quantity of Child Item required to make a single unit of its Parent Item) X (Work Order Quantity)

 

Type:

Automatically displays the Type of Child Item for your reference. You can not change it.

 

Internal UOM:

Automatically displays the Internal Unit of Measurement of Child Item for your reference. You can not change it.

 

Issue Method:

In 'Add' mode, this field will automatically display the Issue Method of Child Item as specified through Item Master Basic Detail - Entry option of Materials Module. You can change it. To do so, click on the field and select the Issue Method. Press <TAB>.

 

In 'Edit', and 'View' modes, the Issue Method of the Child Item will be displayed for the selected Work Order Number. You can change it in 'Edit' mode.

In 'Add' mode, both the grid are displayed blank.

 

In 'Edit', and 'View' modes, both the grids will be populated with data belonging to the selected Work Order Number.

Tools

A grid with one row each for the Operation is displayed to enter any Tools related to it. The grid is as follows -

 

Inside/Outside:

Displays the type of Operation for your reference. You can not change it.

 

Operation No:

Displays the Sequence Number of the Operation for your reference. You can not change it.

 

Tool Type:

Specifies the Type of Tool. Three types of Tools can be specified which are - Tool, Instrument and Gauge. Click on the field and choose your option by selecting it. Press <TAB>.

 

Tool Code:

Specified the Tool.

 

Click on the field to access a list of Tools that have been defined through Item Master Basic Detail - Entry option of Materials Module. Select your desired Tool from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Tool Code.

Only those Items will be displayed / accepted that have 'Nature of Item' as 'Tools'.

 

Tools Description:

Automatically displays the Description of the selection Tool Code.

Detail Description

A grid with one row each for the Operation is displayed to enter any details description related to it.

 

Inside/Outside:

Displays the type of Operation for your reference. You can not change it.

 

Operation No:

Displays the Sequence Number of the Operation for your reference. You can not change it.

 

Detail Description:

Click on the field. Now start entering the description if any related to the Operation. Press <TAB>.

 

Operation:

Displays the Description of the Operation for your reference. Yo can not change it.

Once you have entered all the information related to the Work Order, click on 'Save' button to save it or 'Cancel' to discard. The control will go back to the list.
