SJO Entry

Create and maintain Sales Job Orders against Customer Orders as well as Forecast Orders through this option.

 

Creating Sales Job Order is the first step towards planning execution of an order. Since Sales Job Order is aligned with Customer Bill of Material for each specific ordered item in Engineering Module, IMMS generates separate Sales Job Orders for each manufactured item of an order. Additionally it also allows to enter Job Order specific quantity and delivery date which may differ from order quantity and date but never exceed.

 

It is important to note here that a Sales Job Order can also be created for partial quantity of an ordered Item. IMMS keeps record of the pending quantity of Order against which next SJO can be made.

 

A Sales Job Order under production can be stopped by Short Closing it. De-allocation of related child items is a prerequisite.

 

A list of existing SJOs will be displayed as follows -

 

 

Search:

Enter any text you want to search in the list below. The search is applicable to all columns of the list. Once the text is entered, press <ENTER> key. As a result, the list will be refreshed with all those records that contain the entered text fully or partially. In order to go back to the original list, remove the text from the box and press <ENTER> key again.

 

Filter By:

IMMS provides the facility to filter the records on the basis of their status. Click on the field and select either 'All', 'Authorized', 'Pending for Authorization' or 'Deleted'. Selecting 'All' will display all records, authorized as well as unauthorized. Selecting 'Authorized' will display only authorized records. Selecting 'Pending for Authorization' will display only those records that are yet to be authorized. Selecting 'Deleted' will display deleted records.

 

Once a Sales Job Order is generated, it may or may not need to be authorized.

Sales Job Orders can be added, edited, deleted and viewed provided the Role associated with the currently logged-in user through User Management has the respective rights to do so.

To 'Add' a Sales Job Order, click on the button and to 'Edit', click on the icon on its corresponding record. Click on the icon to delete a particular Sales Job Order. To view details of a particular Sales Job Order, <DoubleClick> on that record. As a result, following screen will be displayed -

Field Description of SJO Details

Specify whether the SJO is against a Forecast Order or against a Customer Order.

 

While 'Adding' a new SJO, select the desired option by clicking on it.

 

In case of 'Edit', and 'View', option will be displayed as highlighted for the selected record. It can not be changed.

 

SJO Details

Specify the SJO details as follows -

Year:

Denotes the Financial Year of the SJO.

 

While 'Adding', current Financial Year will be displayed by default which can NOT be changed.

 

In case of 'Edit', and 'View', Financial Year of the selected record will be displayed automatically. It can not be changed.

 

Group:

Denotes the Group of the SJO.

 

While 'Adding', please note that the Group which has been specified as default for the selected financial year through Document Control Master option in Administrator Toolswill be displayed automatically. You can change it by clicking on the field to access a list of already defined SJO Groups for the entered Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Group.

 

In case of 'Edit', and 'View', Group of the selected record will be displayed automatically. It can not be changed.

 

Site:

Denotes the Site of the SJO.

 

While 'Adding', the Site if any specified with the selected Group will be displayed by default. Click on the field to access a list of already defined Sites. Select your desired Site from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Site.

Please note that the Site(s) will be displayed/accepted as per the following conditions -

  • In case the 'Site Required?' flag is 'On' through Document Control Master option in Administrator Tools Module, then only those Sites will be displayed which have been linked with the selected Year and Sales Job Order Group.
  • In case the 'Site Required' flag is 'Off', then all the Sites that have been defined for the current Company through Site Master option of Administrator Tools Module will be displayed.

In case of 'Edit', and 'View', Site of the selected record will be displayed automatically. It can not be changed.

 

Number:

Denotes the SJO Number.

(Type : Alphanumeric, Length : 6)

 

While 'Adding', Sales Job Order Number is either generated automatically or entered manually by the user.

 

Generation of Sales Job Order Number is a flag driven option and depends upon the setting of flag 'Auto Number Generate Required' through Document Control Master option in Administrator Tools Module. CollapsedClick here to read more about the flag...

 

In case of 'Edit', and 'View', Number of the selected record will be displayed automatically. It can not be changed.

 

Date:

Denotes the Date of the SJO.

 

While 'Adding' a new Sales Job Order, enter its Date. Today's date is displayed by default. You can change it but it can not be later than today's date and should fall within the Current Period date range. Press <TAB>.

 

In case of 'Edit', and 'View', Date of the selected SJO will be displayed automatically. It can not be changed.

SJO Wise:

While 'Adding' a new SJO, this field can be left as it is.

 

In case of 'Edit', and 'View', select this option by clicking on it if you want to search a particular SJO by its number.

 

OAF Wise:

This field will be visible only in case SJO Type is selected as 'Customer Order'. Otherwise, it remains invisible.

 

While 'Adding' a new SJO, select this option by clicking on it if you want to create an SJO against an existing OAF Number.

 

In case of 'Edit', and 'View', the status of this option will be displayed automatically for the selected record. It can not be changed.

 

FO Wise:

This field will be visible only in case SJO Type is selected as 'Forecast Order'. Otherwise, it remains invisible.

 

While 'Adding' a new SJO, select this option by clicking on it if you want to create an SJO against an existing Forecast Order Number.

 

In case of 'Edit', and 'View', the status of this option will be displayed automatically for the selected record. It can not be changed.

Forecast / OAF Order Details

Year:

Denotes the Financial Year of the Forecast / OAF Order.

 

While 'Adding' a new SJO, current Financial Year is displayed by default which can be changed.

 

In case of 'Edit', and 'View', Year will be displayed automatically for the selected SJO Number. It can not be changed.

 

Group:

Specify the Group of the Forecast / OAF Order.

 

While 'Adding' a new SJO, please note that the Group which has been specified as default for the selected financial year through Document Control Master option in Administrator Toolswill be displayed automatically.

 

You can change it by pressing <F5> key to access a list of already defined Forecast / OAF Groups for the entered Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Group Code.

 

In case of 'Edit', and 'View', Group will be displayed automatically for the selected SJO Number. It can not be changed.

Site:

Specify the Site of the Forecast / OAF Order.

 

While 'Adding' a new SJO, the Site if any specified with the selected Group will be displayed automatically.

 

Click on the field to access a list of already defined Sites. Select your desired Site from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Site.

Number:

Specify the Forecast / OAF Order Number against which an SJO is to be made.

 

Click on the field to access a list of Forecast / OAF Order Numbers already created for the selected Year, Group and Site. Select your desired Number from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Forecast / OAF Order Number.

 

Please note that while 'Adding' an SJO, only those Forecast / OAF Orders will be displayed/accepted against which no SJO exists or some amount of quantity is still left to be included in SJO. OAFs generated for 'BY' (Bought Out) and 'RS' (Ready Sub-Assembly) type of Items will not be displayed/accepted.

 

In case of 'Edit', and 'View', Number will be displayed automatically for the selected SJO Number. It can not be changed.

 

Date:

Forecast / OAF Order Date will be displayed automatically for the selected Forecast Order Number. You can NOT change it in 'Edit' mode.

Field Description of SJO Item Details

A list of Items belonging to the selected Forecast / OAF Order will be displayed as shown in the above grid.

 

Please note that -

  • while 'Adding'  an SJO,
  • All Internal Items belonging to the selected Forecast / OAF Order Number will be displayed in the grid.
  • Only those Items will be displayed against which SJOs have either not been created yet or some quantity of the Forecast/OAF is still pending for SJO to be made.
  • in case of 'Edit' , 'View' and
  • Only those Items will be displayed against which selected SJO has already been created.

Field Description of the grid -

 

Item Code:

Displays the Sales Item Code for your reference.

 

Item Description:

Displays the Sales Item Name for your reference.

 

Internal Item Code:

Displays the Internal Item Code of the Sales Item for your reference.

 

Description:

Displays the Description of the Internal Item Code for your reference.

 

Order Quantity:

Displays the Forecast / OAF Quantity of the Sales Item Code for your reference. You can not change it.

Sales IUOM:

Displays the Unit of Measurement of the Sales Item for your reference. You can not change it.

Alrd SJO / Allocation Qty:

Automatically displays the quantity of the Item for which SJO has already been made against the selected Forecast / SJO Order. You can NOT change it.

 

Moreover if the Sales Item has already been allocated for Customer Order through Sales Allocation / De-Allocation option of Sales Module, this field will display Already SJO Qty + Allocation Qty - Already Work order Receipt Qty.

 

SJO Qty:

(Type : Numeric, Length : 10.4)

Specifies the quantity of the SJO.

 

While 'Adding', click on the field. Now enter the SJO Quantity for the Item. It can not be more than the pending Order Quantity (Order Qty - Alrd SJO Qty). Press <TAB>. Alternatively, you can also click on button in order to automatically fill the remaining ordered quantity for which SJO has not been made for all the Items in the grid. Click on to reverse the quantities back to zero.

 

In case of 'Edit', and 'View', the SJO Qty of the selected Sales Item is displayed automatically. You can NOT change it.

IUOM:

Displays the Internal Unit of Measurement of the Sales Item for your reference. You can not change it.

SJO Group:

Denotes the SJO Group.

 

While 'Adding', displays the Sales Job Order Group that was entered in the main screen. You can change it if there are multiple Groups and you want to select another one.

 

You can change it by clicking on the field to access a list of already defined SJO Groups for the entered Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Group.

 

In case of 'Edit', and 'View', the SJO Group is displayed as per the Sales Item. You can not change it.

 

SJO Site:

Denotes the SJO Site.

 

While 'Adding', displays the Sales Job Order Site that was entered in the main screen. You can change it if there are multiple Sites and you want to select another one.

Delivery Date:

Denotes the Delivery Date of the Sales Item.

 

While 'Adding',

In case SJO is being made for a Customer Order, this date will be displayed automatically as the 'Committed Delivery Date' mentioned for the Sales Item in the selected OAF Number - 1. You can change it. Click on the field to do so. But it can neither be later than the 'Committed Delivery Date' of the Item nor can it be before the current date.

 

In case SJO is being made for a Forecast Order, this date will be displayed automatically as the 'Order Delivery Date' mentioned for the Sales Item in the selected Forecast Number - 1. You can change it. Click on the field to do so. But it can neither be later than the 'Order Delivery Date' of the Item nor can it be before the current date.

In case of 'Edit', and 'View', the Delivery Date of the selected Sales Item is displayed automatically. You can change it.

 

Committed Delivery Date:

Automatically displays the Order Delivery Date mentioned for the Sales Item in the selected Forecast / OAF Order Number for your reference. You can NOT change it.

KANBAN Warehouse:

Please note that this field will be visible only in case the flag 'Do you want to use KANBAN functionality?' is set as 'On' through Inventory Policy option of Administrator Tools Module. Otherwise this field will NOT be visible at all.

Denotes the default KANBAN Warehouse from where the KANBAN Items that may be required for manufacturing the Sales Item will be allocated.This Warehouse will be carried forward to the Work Order that will be created for this SJO Item.

Work Order start/release date:

This field will be visible only if the flag 'Do you want your Material Planning based on Planning Start Date and Production Start Date?' is set as 'On' through Shop Policy option of Administrator Tools Module. If the flag is 'Off', this field will NOT be displayed at all.

 

Denotes the date on which the Work Order should ideally be released for the Item.

 

While 'Adding', click on the field. Now enter the Work Order Start/Release Date. It can neither be later than the Delivery Date nor can be before the current date.

Planning Start Date:

This field will be visible only if the flag 'Do you want your Material Planning based on Planning Start Date and Production Start Date?' is set as 'On' through Shop Policy option of Administrator Tools Module. If the flag is 'Off', this field will NOT be displayed at all.

 

Denotes the date on which the overall planning for the Item should be started.

 

While 'Adding', click on the field. Now enter the Planning Start Date. It can neither be later than the Delivery Date nor can be before the current date.

Attachment:

Denotes the attached file if any.

 

While 'Adding', this field will be displayed empty.

 

In case of 'Edit', and 'View', name of the file already attached, if any, will be displayed in the field.Click on the field to attach a file. A small screen will be displayed as follows -

Click on 'Add' button in order to attach a file. Another screen will appear to select a particular file. Click on the file name after searching it from the right path. Click on 'Open' button to select the file. As a result the control goes back to the previous screen and the selected file along with its path will be displayed. Click on 'Cancel' button to discard.

 

Click on 'Remove' button to remove previously attached file.

Click on 'View' button to view the attached file.

Click on 'Close' button to discard and go back to the grid.

Remark:

(Type:Alphanumeric, Length : 255)

This field will be displayed only when SJO Type has been selected as 'Forecast Order'. Otherwise it will not be displayed at all.

 

The Remarks entered for the Item belonging to the selected Forecast Order through Forecast Order option will be displayed by default. You change it. To do so, click on the field and enter the Remarks. Once done, press <TAB>.

 

Once you have entered all the information related to the Sales Job Order, click on 'Save' icon to save it.

 

Please note that if SJO quantity is entered for one or multiple Items, IMMS will create individual SJO for each Item. For example, if there are 2 Items belonging to a Customer Order and SJO quantity has been entered for both of them, IMMS will generate 2 different SJOs for each Item. A list of newly generated SJOs will be displayed for the user's reference

 

Once you have entered all the information related to the SJO, click on 'Save' button to save it or 'Cancel' to discard. The control will go back to the list.
