Forecast Order

 

IMMS provides a unique facility called Forecast Orders. These are the orders which have not been actually received from a customer but eventually will be. Creating a Forecast Order helps to plan it way before an actual order is received. This in turn saves a lot of time and results in optimized utilization of resources.

 

A Forecast Order can further be converted in to a Firm Order once it is received from a customer.

 

This option also allows users to create a Forecast Order by using item templates. Users can first download the template in excel file, enter the relevant data such as Sales Items, order details, and then upload the same file to create Forecast Order.

 

A list of already existing Forecast Orders will be displayed as follows -

 

Search:

Enter any text you want to search in the list below. The search is applicable to all columns of the list. Once the text is entered, press <ENTER> key. As a result, the list will be refreshed with all those records that contain the entered text fully or partially. In order to go back to the original list, remove the text from the box and press <ENTER> key again.

 

Filter By:

IMMS provides the facility to filter the records on the basis of their status. Click on the field and select either 'All', 'Authorized' or 'Pending for Authorization'. Selecting 'All' will display all records, authorized as well as unauthorized. Selecting 'Authorized' will display only authorized records. Selecting 'Pending for Authorization' will display only those records that are yet to be authorized.

 

Once a Forecast Order is generated, it may or may not need to be authorized.

Forecast Orders can be added, edited, and viewed provided the Role associated with the currently logged-in user through User Management has the respective rights to do so.

To 'Add' a Forecast Order, click on the button and to 'Edit', click on the icon on its corresponding record. To view details of a particular Forecast Order, <DoubleClick> on that record. As a result, following screen will be displayed -

Once a Forecast Order is created, it can NOT be deleted but can be edited.

Forecast Order Details

Specify the Forecast Order details as below -

Year:

Denotes the Financial Year of the Forecast Order.

 

While 'Adding' a new Forecast Order, current Financial Year will be displayed by default which can NOT be changed.

 

In case of 'Edit' and 'View', Financial Year of the selected record will be displayed by default. It can not be changed.

 

Group:

Specify the Group of the Forecast Order.

 

While 'Adding', please note that the Group which has been specified as default for the selected financial year through Document Control Master option in Administrator Toolswill be displayed automatically.

 

You can change it by clicking on the field to access a list of already defined Forecast Groups for the entered Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Group.

 

In case of 'Edit' and 'View', Group of the selected record will be displayed by default. It can not be changed.

 

Site:

Specify the Site of the Forecast Order.

 

While 'Adding', the Site if any specified with the selected Group will be displayed automatically.

 

Click on the field to access a list of already defined Sites. Select your desired Site from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Site.

Please note that the Site(s) will be displayed/accepted as per the following conditions -

  • In case the 'Site Required?' flag is 'On' through Document Control Master option in Administrator Tools Module, then only those Sites will be displayed which have been linked with the selected Year and Forecast Order Group.
  • In case the 'Site Required' flag is 'Off', then all the Sites that have been defined for the current Company through Site Master option of Administrator Tools Module will be displayed.

In case of 'Edit' and 'View', Site of the selected record will be displayed by default. It can not be changed.

 

Number:

(Type : Alphanumeric, Length : 6)

 

While 'Adding', Forecast Order Number is either generated automatically or entered manually by the user.

 

Generation of Forecast Order Number is a flag driven option and depends upon the setting of flag 'Auto Number Generate Required' through Document Control Master option in Administrator Tools Module. CollapsedClick here to read more about the flag...

 

In case of 'Edit' and 'View', Number of the selected record will be displayed by default. It can not be changed.

Date:

While 'Adding' a new Forecast Order, enter its Date. Today's date is displayed by default. You can change it but it can not be later than today's date or Current Period End Date. Press <TAB>.

 

In case of 'Edit' and 'View', Forecast Order Date will be displayed automatically as per the selected Forecast Order Number. You can NOT change it in 'Edit' mode.

Click on button to continue.

Field Description of Item Details

A grid will be displayed as shown in the above screen shot -

 

While 'Adding' a new Forecast Order, this grid will be displayed empty.

 

In case of 'Edit' and 'View', the grid is automatically populated and displayed with Sales Items belonging to the selected Forecast Order Number.

 

Click on the button to add a new Item in the grid. A new row will be added as a result.

Action

Click on the icon to remove a record from the list. Click on the 'Delete' icon again to un-delete the record.

 

Sr. No.

Automatically generated sequence number.

 

Model No.

Automatically displays the Model Number of the Sales Item as entered through Sales Item Master: Product /Spare option of Sales Module.

 

Model Name

Automatically displays the Model Name of the Item as entered through Sales Item Master: Product /Spare option of Sales Module.

 

Sales Item Code

Denotes the Sales Item belonging to the Forecast Order.

 

Click on the icon on the field to access a list of Sales Items defined through Sales Item Master: Product /Spare option of Sales Module. Select your desired Sales Item from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Sales Item.

 

You can not select an Item that has been deactivated through Activate/De-Activate Master option in Administrator Tools Module. The help list will also not display such Items.

 

Only those Sales Items will be displayed/accepted whose Internal Items are of 'Ready Sub Assembly (RS)' or 'Make Item (Mk)' type.

Sales Item Name:

Description of the selected Sales Item Code will be displayed automatically.

Internal Item Code:

Automatically displays the Internal Item Code of the selected Sales Item Code for your reference purpose. You can not change it.

 

Internal Item Name:

Automatically displays the description of the Internal Item Code for your reference purpose. You can not change it.

 

Order Quantity:

(Type : Numeric, Length : 9)

 

Click on the field. Now enter the quantity of order for this Sales Item. Press <TAB>.

 

Order Delivery Date:

Click on the field. Now enter the date of Delivery for the Sales Item. It can not be before today's date. Press <TAB>.

 

Attachment:

Click on the field to attach a file. A small screen will be displayed as follows -

 

Click on 'Add' button in order to attach a file. Another screen will appear to select a particular file. Click on the file name after searching it from the right path. Click on 'Open' button to select the file. As a result the control goes back to the previous screen and the selected file along with its path will be displayed. Click on 'Cancel' button to discard.

 

Click on 'Remove' button to remove previously attached file.

Click on 'View' button to view the attached file.

Click on 'Close' button to discard and go back to the grid.

Remark:

(Type : Alphanumeric, Length : 255)

 

Click on the field. Now enter the remarks, if any, related to the Sales Item. Press <TAB>.

Once you have entered all the information related to the Forecast Order, click on 'Save' button to save it or 'Cancel' to discard. The control will go back to the list.
